Description
Finance Officer Archiving, Finance, Asset and Records Management serves as the primary support for the finance functions of Pathfinder country offices. Ensures that all assets, inventories, and archiving are managed and administered according to Pathfinder and donor regulations and policies. Responsible for store activities; receiving, stores and distributes supplies and equipment; maintains inventory and stock records. Ensures that records are systematically archived and retrieved when needed. Ensures transactions are timely recorded in Pathfinder’s accounting Systems. Strives for operational excellence that enables Pathfinder to continue to grow; evaluate, develop and implement operational best practices in areas including asset management, archiving, financial reporting and compliance, and training. Builds constructive and effective relationships with team members and clients. Collaborates with other staff to support and coordinate audits.
Assets and inventory Management:
- Review, update, and maintain fixed asset and inventory registers per Pathfinder policy and industry best practices.
- Assign bar codes to fixed assets.
- Record fixed asset acquisitions and disposals in the accounting system.
- Track the compilation of project costs into fixed asset accounts, and close out those accounts once the related projects have been completed. Reconcile the balance i
- the fixed asset subsidiary ledger to the summary-level account in the general ledger.Calculate the depreciation for all fixed assets.
- Review and update the detailed schedule of fixed assets and accumulated depreciation.
- Identify and investigate any obsolete assets.
- Conduct periodic impairment reviews for intangible assets.
- Conduct periodic physical inventory counts of fixed assets.
- Recommend to management whether fixed assets should be disposed of.
- Conduct analyses related to fixed assets as requested by management.
- Issue and receive assets and inventories to and from staff members.
- Ensure asset physical verification is done as per policy.
- Reconcile asset register and report of physically verified report
Store Keeping
- Maintain supplies stock in and out tracker.
- Fills supply requisitions for office supplies and inventories.
- Receives and inspects all incoming materials and reconciles with purchase orders, or waybills and tracks damages and discrepancies on orders received.
- Issue supplies to staff members based on request.
- Transfer supplies to offices based on request.
- Maintains the stores area in a neat and orderly manner
- Book data into the financial system.
- Custodian the financial, procurement, and administration files in the store.
- Maintain trackers for all files in the store.
- Support auditors in retrieving documents from the archive / store.
- Prepare audit schedules relating to fixed assets and assist the auditors in their inquiries.
- Support auditors in the process of physical verification of assets.
- Prepare assets movement report for auditor review
- Ensure compliance with donor and PI policies on asset record-keeping and disposition.
- Ensure compliance with PI financial policies

Minimally Required Organizational Competencies:

Minimum Education and Work Experience:
- Bachelor’s degree in accounting, Finance or Business Management, or related - field, or equivalent, or a combination of education and experience that yields the required
- 2 years’ professional experience working in finance, asset management and record keeping.
- Work experience with a multinational
- Software Applications: Advanced knowledge of MS Excel, PowerPoint, Word and Outlook.
- Prefer: Work experience with Serenic/Microsoft Dynamics NAV financial systems
