Finance, Administration and Grants Officer
JOB OPPORTUNITY
Position: Finance, Administration and Grants Officer
Reports to : Finance and Administration Manager
Organization: Southern Tanzania Elephant Program (STEP)
Based: Iringa office, with some fieldwork in Kilombero Office
Southern Tanzania Elephant Program (STEP) is a leading conservation organization dedicated to the conservation of elephants, habitats, and natural resources in the Southern Tanzania region. We are currently seeking a highly motivated and experienced individual to join our team as a Finance, Administration and Grants Officer. The successful candidate will play a crucial role in Financial and Grant Management.

Responsibilities:
1. Payments, Financial and Grant Management
• Maintenance of Grant Management and Allocation Database - tracking of all grant expenditures and preparation of payment requests and financial reports
• Maintain compliance for all Grant Reporting with donors and according to government requirements
• Support documentation of all financial transactions in QuickBooks and using STEP’s established payment procedures
• Review and verification of payment vouchers, assist with processing payments
• Support monthly reconciliation of petty cash book balances, petty cash balances in QuickBooks, bank payments to ensure consistent balances.
• Conduct monthly checks for tax compliance (service payments, WHT, stamp duty)
• Payroll management and payment
• Support backup of financial records on a weekly basis using STEP Office Server Computer

2. Planning
● Adhere to all reporting timelines for all Grants: conduct regular and proactive reviews of grant timelines to alert senior management to reporting and spending timelines.
● Coordination with Grant Lead(s) on any financial/procurement/reporting protocol for all new and existing grants.

3. Reporting and Compliance
● Preparing all necessary documents for annual external financial audits, internal financial audits and donor audits
● Prepare financial reports and required backup documentation to grantors

4. Financial Security and Controls With special reference to Grants Management:
● Be familiar with and implement all aspects of accounting controls, policies and procedures and outlined in the STEP Financial Manual and the STEP Operations and Human Resources Manual, as well as grant-specific requirements

5. Administration and Office Management
● Support maintenance of organizational Assets Register

Requirements and Qualifications:
● Minimum five years of experience in Accounting, Grants Management, Report writing, Asset Register and Maintenance.
● Minimum Bachelor's degree or Advanced Diploma in Finance, Accounting, Business Administration in
Accounting, or any other related field from a Higher Learning Institution recognized by the Government etc.)
● Experience in working with NGO or other donor-funded organizations is an added advantage.
● Proficiency in Accounting Software/Packages e.g. QuickBooks, Excel
● Proven efficiency, attention to detail and dedication to excellence
● Strong organizational and communication skills
● Personnel management skills and experience also an advantage
● Ability to work collaboratively with diverse stakeholders
● Fluency in written and spoken English and Swahili
● Willing to be based in Iringa
