STANDARD MINIMUM QUALIFICATIONS
  • Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
  • Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
  • Language: Fluency in both oral and written communication in English and Swahili language.

ORGANIZATIONAL CONTEXT
The Common Back Office (CBO) initiative proposes to streamline key operational areas of participating agencies by harmonizing procedures and consolidating support services into one facility at the country level. This consolidation is expected to reduce duplication of functions and administrative and transaction costs, while the harmonized procedures are expected to, at the same time, increase the quality and effectiveness of these services.

The CBO unit will provide common identified services in Common Procurement, Common Logistics, Common Human Resources, Common ICT, Common Finance and Common Administration (including Facility Management) to the United Nations participating entities. Additional services could be included as per agreement between the participating entities and the CBO unit through the hosting entity.

JOB PURPOSE
To deliver a wide range of business support processes and activities for Common Back Office, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)
  • Support to collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
  • Respond to standard queries and provide timely and accurate assistance.
  • Process and manage routine administrative and financial tasks in the CBO, to contribute to the effective and timely management of resources.
  • Manage and maintain records and databases, to ensure information is organized and readily available for staff.
  • Maintain relationships with a range of CBO Clients through provision of business support to assist in information sharing and service delivery to CBO staff and other UN agencies.
  • Support preparation of reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
  • Collect and perform basic analysis of data to contribute to quality business information management, business procedures and processes.
