Plan has been working in Tanzania since 1991, and is delivering programs in 13 regions, including through an extension office in the capital Dodoma, head office in Dar es Salaam, field office for the humanitarian response program (Kibondo), and field offices in six rural and remote locations. We support children to access their rights through our programming in Child Protection, Education, Adolescent Sexual and Reproductive Health and Youth Economic Empowerment. Our work includes community-based action, partner strengthening, and advocacy. Disaster risk reduction is integrated in all the work we do, and Plan is committed to providing disaster response support in case of humanitarian disaster. Plan is currently implementing a humanitarian response program in Kigoma region supporting the Burundi refugee emergency in Tanzania.

The Business Development Assistant role sits within the Business Development Unit (BDU). The BDU is responsible for identifying funding opportunities in line with Plan Tanzania’s priorities, leading the production of successful grant proposals in coordination with program colleagues.
The Business Development Assistant supports the Business Development Unit in Plan Tanzania’s efforts to achieve country fundraising targets and supports the Country Office to develop strong relationships with National Organisations and donors.

Dimensions of the Role
The post holder will report to the Business Development Manager and is a member of the Business Development Unit (BDU). S/he directly will be part of a 4-person team including a Business Development Manager, Business Development Specialist, Award Management Specialist along with this post as Business Development Assistant. The post holder will be responsible for supporting the other three roles and ensure smooth departmental running in order to advance the Country Funding Strategy and Country Funding Plan. The post holder will also take on key smaller proposals and bids in line with workplans defined in conjunction with the Business Development Manager.

Accountabilities
  • Supporting the Business Development Unit in Plan Tanzania to maintain a funding pipeline, ensure all documentation and databases are maintained and support the wider functioning of the team.
  • Maintaining and overseeing the Funding Agreement Document timelines to ensure all documentation is received and filed accordingly
  • Overseeing a database of consultants to support the BDU
  • Uploading of grant master data to the database when contracts have been approved by donors
  • Ensuring all contracts and proposal documents are filed correctly
  • Ensuring contracted project documents are correctly submitted to the Government of Tanzania’s NGO register
  • Updating the grants reporting calendar and working with the Award Management Specialist to ensure donor reports are submitted in a timely manner
  • Monitoring donor Twitter accounts and sending periodic updates to ensure we are abreast of donor updates and stakeholder meetings
  • Supporting data analysis in line with BDU priorities on grant and pipeline portfolios
  • Monitor, analyse and consolidate relevant grant information and disseminate where relevant within Plan International Tanzania.
  • Leading bids to smaller donors like trusts or private donors where surge needs require, in the team upon agreement from the Business Development Manager
  • Overseeing the pipeline calendar and sending round periodic reminders
  • Supporting the team to ensure all project designs address Plan International’s commitment to gender transformative programming.
  • Liaising with stakeholders within Plan Tanzania on bid submissions as requested by the line manager
  • Attend and take notes in external meetings as requested by the Business Development Manager
Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Key relationships
  • Excellent working relationships will need to be built with the Business Development Unit members, Director of Programs, Heads of Section and PUMs/ PIA Managers. The post holder will also be required to work with Country Finance Teams in Plan Tanzania.

Qualifications and Experience
  • Bachelor’s degree in social sciences or other related disciplines
  • 2 years relevant experience in an International NGO, donor or company
  • Experience of working in a relevant grants support function
Knowledge and skills:
  • Excellent level of written and spoken English
  • Excellent interpersonal skills
  • Good attention to detail
  • Good data entry and management experience
  • Planning skills and ability to meet strict deadlines
  • Some understanding of the NGO sector in Tanzania
  • Proficient in computer skills
  • Experience of working with children and communities be an advantage but not essential

Physical Environment
The post holder will be based in Dar es Salaam, Tanzania. Field travel maybe required to rural and remote locations in line with line manager requests
